Website Privacy Policy

This policy explains how Bitmax handles information through bitmaxtech.com and the website inquiry process.

Effective date: August 25, 2026

About this policy

This Website Privacy Policy explains how Bitmax Technologies, LLC, doing business publicly as Bitmax Technologies (“Bitmax,” “we,” “us,” or “our”), handles information through bitmaxtech.com and the website inquiry process.

This policy does not govern information Bitmax handles while providing services to a client. Client information is governed by the applicable agreements and service-specific requirements. The separate Client Portal is also outside this website policy.

Information we collect

Information you choose to provide

If you use the website inquiry form, we may collect:

  • your full name;
  • your work email address;
  • your company name;
  • your phone number, if you choose to provide it;
  • the service or topic you are interested in; and
  • the message you submit.

If you contact us by email or telephone, we receive the contact details and other information you include in that communication.

Do not send passwords, access codes, authentication secrets, regulated data, sensitive personal information, or confidential system details through the website or ordinary email.

Information generated when the website is used

Our hosting systems may create standard server logs when a browser requests a page or file. These logs may include an IP address, requested URL, date and time, request method, response status and size, referring page, browser or device information, and similar technical details.

We may use server-side traffic reports compiled from those logs to understand general website traffic and diagnose operational issues.

Cookies and browser tracking

The website is not designed to use browser analytics, advertising pixels, session replay, or cookies or similar browser storage for tracking. Form security should use first-party, server-side validation and abuse controls that do not add browser tracking. If that implementation changes, Bitmax will review and update this policy and any required choices before the change is released.

How we use information

We may use website information to:

  • review, route, and respond to an inquiry;
  • communicate about the business need described by the visitor;
  • send relevant information about Bitmax services, subject to applicable marketing and opt-out requirements;
  • operate, secure, maintain, and troubleshoot the website and form;
  • detect or prevent spam, abuse, fraud, or security incidents;
  • understand general website traffic through server-side statistics;
  • keep appropriate business and communication records; and
  • comply with law or protect legal rights.

Providing a telephone number permits Bitmax to respond to the inquiry. It does not authorize automated or prerecorded marketing calls or marketing text messages where separate consent is required by law.

How we disclose information

We may disclose website information to:

  • website hosting and infrastructure providers to operate and secure the website;
  • Microsoft, which provides Microsoft 365 email and cloud-communications services used to receive and respond to inquiries;
  • professional advisers when reasonably necessary; and
  • government authorities or other parties when required by law or reasonably necessary to protect rights, safety, or the integrity of our systems.

Providers should receive only the information reasonably necessary for their work and should handle it under appropriate contractual and security obligations.

The website does not sell website visitor information or use it for cross-context behavioral advertising.

Retention

The website form and its intake service are designed not to retain submitted inquiry content for more than 30 days. Inquiry content is delivered to Microsoft 365, which is Bitmax’s business system of record for website inquiries. Temporary form-processing records containing inquiry content will be deleted within 30 days.

Bitmax may retain messages and related business records in Microsoft 365 for as long as reasonably needed to respond, follow up, communicate about relevant Bitmax services, meet security and legal needs, and maintain appropriate business records. We periodically review information and delete or de-identify it when it is no longer reasonably needed, subject to legal, security, backup, and recordkeeping requirements.

Standard hosting logs, abuse records, traffic summaries, and backup copies may follow separate operational schedules appropriate to security, troubleshooting, and recovery. The form must not write inquiry content into those records.

Security

We use administrative, technical, and physical safeguards intended to protect information in light of its nature and the way it is handled. No website, transmission, or storage system can be guaranteed completely secure.

You can reduce risk by keeping an inquiry high-level and not sending secrets, regulated data, sensitive personal information, or confidential system details through the website or ordinary email.

Your choices and requests

You may choose not to use the inquiry form and may contact us using the public telephone number or email address below. Fields marked optional do not need to be completed.

You may ask about, correct, or request deletion of personal information you submitted through the public website. We will review a request in light of applicable law, our ability to verify the requester, and legitimate security, legal, and business recordkeeping needs.

You may opt out of Bitmax marketing email by using the unsubscribe method in the message or contacting us at the email address below. We may still send non-marketing communications related to an inquiry or business relationship when appropriate.

Bitmax does not currently offer a website account or browser-based advertising opt-out because the public website is not designed to use accounts or behavioral advertising.

Privacy rights vary by location. If an applicable law provides additional rights, we will handle a verified request as that law requires.

Children’s privacy

This website is intended for business users and is not directed to children under 13. Children under 13 should not submit personal information through the website.

External sites

The website links to sites and services that Bitmax does not operate, including the Client Portal. Their privacy and security practices are governed by their own notices and terms. A link does not make their practices part of this policy.

Changes to this policy

We may update this policy when our website, providers, or legal obligations change. We will post the revised policy with a new effective date. If a change materially affects information already collected, we will take any additional steps required by applicable law.
